Virtual (aka remote) bookkeeping simply means that your bookkeeper works from a remote location rather than in your office. With advancements in technology, virtual bookkeeping is becoming increasingly popular as it saves business owners a significant amount of overhead costs. With a virtual bookkeeper, you save on equipment, software licenses, payroll taxes, insurance, and employee benefits. A virtual bookkeeper is also less expensive than a "brick and morter" bookkeeping business for the same reason: lower overhead costs. Why pay more when you don't have to?
How does virtual bookkeeping work?
In a nutshell, virtual bookkeeping simply involves a transfer of files.
What information do I need to send each month?1) The first step is to save a backup copy (file extension .QBB) of your QuickBooks file to your computer and email it to me.
2) The second step is to send your bank & credit card statements, receipts, deposit information, and any other necessary documents.
3) After I receive your QuickBooks file and supporting documents, I will enter necessary data, reconcile all of your accounts, and make corrections if applicable. I will then email you several reports with a summary and list of questions (if applicable). If all necessary documents have been sent and all questions have been answered, you should receive your reports and updated QuickBooks file by the end of the next business day.
4) The final step is to download your updated QuickBooks filel and restore it on your computer.
Absolutely. I often meet clients at their office for the initial consultation, training, or support. I will also come to your office to discuss specific issues that are better addressed in person and/or in front of your own computer. However, the bulk of my services are performed from my office, and I am often able to solve problems via telephone or email.
Bookkeeping Services-
I provide bookkeeping services for $50 per hour. You may choose to pay weekly, monthly, or quarterly.
Payroll Processing-
I also provide payroll processing for $75 per month (up to 10 employees, 2 payroll runs per month). Additional employees are $5 each, and additional payroll runs are $25 each. There are no additional fees for set-up, direct deposit, reports, or quarterly filings.
Training & Support-
If you are a bookkeeping or payroll client, you will receive a reasonable amount of QuickBooks training and support at no additional charge. If you would like more extensive training, or you are not a bookkeeping or payroll client, I offer training for $75 an hour.
Discounts, Promotions & Client Referrals-
I generally offer discounts to new clients and nonprofit organizations. In addition, I run promotions on the MSBA FaceBook page. For existing clients, I offer $100 credit for each referral that becomes a client.
Can you give me an estimate of what I will pay each month?
Yes. The amount of time varies with each business; however, it typically ranges from 2-6 hours a month. During the initial consultation, I will ask you several questions to determine approximately how much time it should take. These questions include:
1) How many bank, credit card, and merchant service accounts does your business have?
2) Will you enter the invoices? If not, approximately how many invoices does your business generate per month?
3) Will you enter deposits and expenses? If not, approximately how many deposit and expense transactions does your business have per month?
Please keep in mind that as your business grows, the number of invoices and transactions increases. Therefore, the amount of time spent on bookkeeping will increase as your business grows.

Do you ONLY offer bookkeeping services to clients using QuickBooks?
Yes. Although there are other decent accounting software products out there, I have chosen to specialize in QuickBooks, the industry standard.
